  • Multi-province ready

What running payroll in Canada involves

If you already employ people through your own Canadian entity, you stay the legal employer, but you still have to run payroll correctly every month, in every province you operate in. The Canada Revenue Agency (and Revenu Quebec) run well-integrated systems, which means errors are visible and penalties are real. This is where a specialist payroll partner earns its place: you keep the employment relationship, they keep the mechanics right across provinces.

01

You stay the employer

You stay the legal employer of your Canadian staff. The payroll partner runs the monthly mechanics; you keep the employment relationship.

02

Accurate every cycle

Income tax, CPP, and EI calculated and withheld correctly, payslips issued, and source deductions filed to the CRA on schedule, every month.

03

Multi-province consolidation

Run payroll across several markets under one partner and one process, rather than a different vendor and standard in every country.

How managed Canadian payroll works, step by step

From onboarding your employee data to filing and reconciliation.

01 — Scope & onboard

We map your entity, headcount, and the provinces you employ in, place you with the right vetted Canadian payroll partner, and onboard your employee data.

02 — Set up calculations

Federal and provincial tax, CPP, EI, and any statutory benefits configured correctly to each province’s current rules, so every payslip is right from the first run.

03 — Run monthly payroll

Salaries calculated, income tax, CPP, and EI withheld, payslips issued, and people paid on schedule, every cycle.

04 — File & reconcile

Source-deduction filings to the CRA made on time, with year-end T4s and reconciliation handled for you.

What payroll in Canada costs

Your statutory employer costs, plus a payroll partner fee. Canada’s employer burden is predictable but varies by province; the value of the partner is accuracy and time, in a system where mistakes are visible and penalised.

Employer CPP & EI

CPP is calculated at 5.95% to $74,600 (plus 4% CPP2 to $85,000), with EI at 1.4 times the employee rate, provincial workers’ compensation, and any Employer Health Tax configured correctly to the province, every payroll run.

Minimum wage (2026)

$18.15 per hour for federally regulated roles (April 2026); provincial minimums run $15.00 to $19.75. You pay the rate of the province where the person works.

Income tax (employee)

14% to CAD 58,523, rising to 33% above CAD 258,482, plus each province’s own brackets, calculated and filed correctly on every payslip.

Payroll partner fee

A transparent per-employee or per-payslip fee. We benchmark across our vetted network, typically 15 to 25% below going direct.

The payroll slips the CRA never misses

These are the ones that catch foreign employers, and the reason a specialist partner pays for itself.

Tax & deduction rates

Applying the wrong province’s tax or minimum wage. Misapplying the employer versus employee CPP and EI split. Missing statutory benefit or leave entitlements that vary by province. Each is easy to get wrong alone and visible to the CRA when you do.

Filings, deadlines & reporting

Late source-deduction remittance to the CRA, where penalties and interest apply automatically. None of these are hard for a specialist; all are easy to get wrong alone. That is the whole case for getting your Canadian payroll partner right.

Your questions answered

Straight answers on running compliant payroll in Canada.

Yes. Payroll outsourcing assumes you are the legal employer, which usually means you have a Canadian entity. If you have no entity and do not want one yet, you need an EOR instead, where the partner is the legal employer. We will confirm which applies to you.
Income tax calculation and remittance, employer and employee CPP and EI, statutory benefits and leave, payslips, and all source-deduction filings to the CRA, with year-end T4s. You keep the employment relationship; they keep it compliant and on time.
Each province sets its own income tax on top of federal tax, and Quebec runs a separate system (QPP and QPIP instead of CPP and EI). A good payroll partner applies the correct province’s rules so withholding is right from the first run. Getting the province wrong is one of the most common payroll mistakes.
Predictable, and it varies by province. Employer CPP is 5.95% to $74,600 (plus 4% CPP2 to $85,000), EI is 1.4 times the employee’s own 1.63% rate, with provincial workers’ comp and sometimes an Employer Health Tax on top. Add the transparent payroll partner fee and you have your all-in cost.
Yes, and it is one of the main reasons companies come to us. One point of contact and a consistent process across markets, rather than a separate provider and a different standard in every country.
Yes. When you incorporate and become the legal employer, we move your people from the EOR arrangement onto your own compliant Canadian payroll, and manage the handover so nothing is missed.
